Policies and Procedures:

Throughout the years a lot of the ways things were accomplished all depended on who was in what position at the time.  These ways are changing to a more uniform cohesive way by creating policies and procedures required by our governing documents.  As these documents are created and approved – they will be listed here:

  • PM Dues Collection Policy – Contains step by step instructions on how to process delinquency within Pine Mountain.  The Collection Policy provides examples of letters, forms, hearing formats and more to ensure a historical record has been recorded of all transactions and possible outcome.
  • POA Covenant & Rule Enforcement Policy– Ever have a complaint or faced a violation?  This is where enforcement starts.
  • Board of Directors Guidelines – Designed to be used as guidelines and training for all Board of Directors members.  This document contains a form showing acceptance to be on the Board of Directors and Code of Ethics for Board Members.
  • Pine Mountain Environmental Control Guidelines – Contains policy and procedures directly from Pine Mountain POA, Inc.’s Covenants and Restrictions.  Great source of information to anyone wishing to build within Pine Mountain.  Plus: it’s easier to read than the C&Rs.
  • Employee Handbook October 2018 Board Approved – October 2018 proceeds all previous employee manuals, policies, memorandums, guidelines, and benefits.
  • Pine Mountain Definition Booklet – Consolidated list of words/phrases used within Pine Mountain’s guidelines, handbooks, policies, amendments, supplements, references, procedures, etc.  Consider this booklet forever under revision.

New Handbooks:

  • POA Members Handbook 2018 – Contains a general overview of all the information we wish we knew when we arrived.  Contains contact information, available references, where to locate different information and more.

New or Updated Pine Mountain Forms:

Our forms have either been lacking in detail, accountability and even appearance.  How can anyone take an organization seriously if their forms appear to come from someone’s basement computer?  We’re organizing, standardizing and numbering our forms.  Eventually, each form will be referenced within a policy or procedure.

  • PM Complaint Form 2018 Rev 1 (PDF)- Use this form for any complaint that pertains to Pine Mountain.  Instructions are included (on the back of the form).  This form will allow all complaints to be turned in at the Office and travel through appropriate channels thus creating a paper trail throughout the process of identifying a problem, who is best to solve the issue/problem and when the problem was solved and how.  Word:  Complaint Form 2018 Rev 1 in MS Word
  • PM Golf Sponsor Form – We have numerous amounts of tournaments played at our Golf Course each year.  We provide individuals, businesses and organizations to advertise their brand at each Golf Hole Number.  Now that door is opening up to park benches that will be sprayed across our course.  If you know of someone that would like to participate – this is the form you’ll need.
  • 2019 Member Contact and Vehicle Information Sheet Form:  The POA office requires every member to have a Member’s Contact & Vehicle Information Form filled out and kept up to date.  If anything has changed in your world like phone numbers, billing address, spouse/partner information, etc. – please fill out the attached form, print (print button is at the top right of the screen) and drop it off at the office or mail it in.  Thank you!
